Creating Properly Formatted Word Files

Do the following when you first open a new document in which you have decided to use APA style:

1. Set your preferences so that non-printing characters are shown in the document. This is so you can easily see where you have tabs, returns, and extra spaces in your text--and whether they are in the right place.

  • Select Preferences... under the Tools menu.
  • Click the View tab if it is not already at the front.
  • Under the Nonprinting characters section, click on the All box so an X or check appears in the box.
  • Click OK.

2. Set your font type or style to Courier or Times New Roman, and your font size to 12 pt.

  • Select everything in the file by selecting Select All under the Edit menu.
  • Select Font... under Format menu.
  • In the Font: window, click on Courier or Times New Roman.
  • In the Size: window, click on 12 point.
  • Click OK.


3. Set line spacing to double space.

  • Select Paragraph... under Format menu.
  • Click on the Indents and Spacing tab if it is not already at the front.
  • In the Line spacing section, select Double in the pull down menu.

4. Deselect Widow/Orphan Control, so each page completely fills with text.

  • While still under Paragraph... in the Format menu, select the Line and Page Breaks tab.
  • Under the Pagination section, click the Widow/Orphan Control box, so the X is removed.
  • Click OK.

5. Set all 4 margins to be at least 1" and distance of Header 0.5" from edge of page.

  • Select Document... under Format menu.
  • Click on the Margins tab if it's not already at the front.
  • Type 1 in each margin box, tabbing from box to box.
  • In the From the Edge section, below the Margin settings, type .5 in the text box next to Header.
  • Click OK.

6. Create a header in which the Manuscript Page Header (MPH) and the Page Number will reside. This will allow the MPH and the page number to be placed automatically at the top of each page regardless of changes that you make to the text on each page.

  • Select Header and Footer under View menu.
  • Select the Paragraph marker in the header window, and change the font type and size to be the same as those in the text of the paper, as you did in #2, above.
  • Also select double spacing for the header text, as you did in #3, above.
  • Type the Manuscript Page Header.
  • Use the space bar to space over 5 spaces, OR hit the Return key.
  • Then click on the page number icon in the tool bar.
  • Select right justification for the MPH and page number by clicking on the right justification icon on the ruler.
  • Close the header window.
