How to Request a Room Reservation via EMS Webpage
Go to http://ems.westmont.edu/VirtualEMSEnterprise/
Create An Account
If you have not visited this site before, you need to create an account. On the toolbar, click on My Account and then choose Create An Account.
Under Personal Information, fill in all the information, and create a password for yourself, which you'll retype a second time to confirm. (Ignore the second column titled System Personalization.)
Click on the Save button.
Underneath Account Management at the top of the screen will appear a note confirming that your account is updated. This means that a request has been sent to the Administrator to grant you user rights. You may need to wait at least 2 business days before your user account has been approved. After that time, return to http://ems.westmont.edu/VirtualEMSEnterprise/ and use your email address and the password you chose to log in.
Log In
On the toolbar, click on My Account and then choose Log In by clicking directly on the words. Type in your e-mail address and the password you chose.
(If your log in request is rejected, you may not have been approved as a user yet. Check back again soon.)
View the Calendar
On the toolbar, click Browse. You can view events in different formats, browse room options, or browse for space by checking the availability of a room or building(s) on a certain date.
Request A Room Reservation
Log in. On the toolbar, click Reservations and then click on Room Request. Choose a date and time. You can book multiple dates & times by choosing daily, weekly, monthly, or random recurrence options.
Under location you may choose a specific building or just leave the setting at (all) to view all rooms available for that date and time.
Under attendance, type in your estimated number. The system will only display rooms that can accommodate your attendance number.
Click Search.
A list of rooms will appear. For information about the room or building, click on the room or building name.
To request a room, click on the word Reserve for that room listing.
A new page showing the date, time, and room will appear. This does not mean your request has been processed! To begin processing your request, click on the Continue button. (You also have the option of requesting more rooms or restarting the process by clicking on those buttons.)
A new page will appear with spaces to fill in your event details. Please complete all required fields.
Under Groups, if your department is not listed, choose Other.
If your name is not listed under 1st Contact, choose (temporary contact) and then fill in your information.
Under Additional Information, please answer the question in red by choosing Yes.
Click the Submit button once only.
If the information is complete, a new page will appear with your Reservation Summary. This page is not a confirmation. On the bookings toolbar below, look under the status column to see the status of your booking.
You may return to this page after several days to see if your reservation status has been changed to confirmed or cancelled. Simply log in, choose Reservations, and click on View My Requests. You can always edit or cancel your requests from here as well.
You should also receive e-mail notification when the status of your reservation updates.
Additional Information
- If you log out and desire to log in again to EMS, you can return to the homepage by clicking the EMS icon in the upper left corner.
- If your reservation is less than 2 days in advance, you may need to call x6045 to request a last minute reservation.
- If your attendance number is larger than the set capacity number for a specific room, you will need to call Public Safety (Tom Bauer) and/or Event Services (Josh Weitzman) for permission, otherwise your reservation may not be processed.
