The campus voice mail system acts as an answering service and message router for the Westmont community.  Select one of the following links for more information on your voice mail box.

Initialization
1.  Dial 6775 if on campus, or (805) 565-6775 if off campus. 
2.  Enter the mailbox number as the password followed by the # key, then re-enter it as the mail box number followed by the # key. 
3.  Listen to the voice mail prompts, "Voice mail is like a tree..."  Then select a password that is different from the mail box number.  Also, record your name as indicated below. 
 "Herbie Hancock, extension 1234" 
 
4.  When recording your greeting make sure to identify your extension, name and department.  For a sample greeting, see below. 
 
"You have reached voice mail for Herbie Hancock of the Westmont College Telecommunications Department.  Please leave me your name and phone number and I will call you back as soon as I can.  Thank you and have a great day."
Sending to Groups and Group Lists
Sending Broadcast Voice Mail Messages
Voice Mail Messages sent to groups must conform to the following guidelines:
 
  • Send messages regarding Westmont affairs only.  The system is not for personal use. 
  • Send after business hours (between 6pm and 8am) by sending them future delivery.  Press 5 to record your message, # to stop recording, 0 for more options and 2 to mark the message for future delivery.  Enter the day and time, following the prompts, that you want the message to be sent out, and the system will respond "Your message has been posted."
  • Send only to the appropriate group.  For example, messages intended for All Staff (group list 38) should not go to All Faculty (group list 37), as well.
  • State the name of the sender and the intended recipients before the body of the message. 
  • Send brief and concise messages that are less than 30 seconds in length.
  • Send messages regular delivery, not urgent.

Call Controllers are designed to provide the callers interactive information that is commonly sought of that department by the selection of touch tone keys.  They are voice mail trees which allow the caller choices to select certain recordings of information or to provide further screening for the department so that the caller can speak to the correct person the first time that they call.  These call controllers can be basic with only one level or more complex as the caller selects different options and gets deeper into the tree.  They can potentially save large amounts of time for the employees of the department that no longer have to answer the same questions repeatedly.
