ACADEMIC TECHNOLOGY EVENT SUPPORT GUIDELINES:
Our hours of support are 8am - 9pm Monday thru Saturday. Please give us 72 hours advance notice. Support is for current Westmont faculty, staff and students. See below for more details. For Video event support, please schedule an initial production meeting with us at least Three Weeks prior to event
IT SUPPORT TICKET = request assistance with tech issue, help with Zoom or Canvas, request Audio Visual support for your event.
Our hours of support are 8am - 9pm Monday thru Saturday. For early morning support (before 8am) or late hour support (after 9pm) or on Sundays, please contact us in advance to confirm if we are able to provide support at those times.
- WHO we support: Audio Visual Event support is for Westmont College faculty, staff and enrolled students. Support for outside groups must be scheduled through Campus Scheduling and is subject to staffing availability.
- HOW to request support: Submit an Equipment Order (click on Submit An Equipment Order button above) support request at least 72 hours in advance for weekday/daytime events and One Week in advance for evening or weekend event support. For full conference Pro level support, please contact us at least 30 DAYS in advance to allow for full event planning and AV logistics.

WHAT to order: Please enter actual start time for your event - we will figure our set up time from that. By default, requested support and gear are set BY 15 minutes prior to event start. To request more time, please add this in comments field. Select the basic item you need us to set up (LCD projector, Microphone, PA system etc.) and we will make sure all the cables and stands you need are included.
VIDEO RECORDING
Support is only scheduled for events where the presenter has given permission to publish the recording to Westmont public YouTube or Vimeo channel. Events that do not have this permission will not be recorded. Departments can however, check out basic recording gear to self record the event to save for their archives upon request. If you would like to have the presenter’s slides included in the video edit, please provide these to us prior to your event.
EVENTS: Events this semester will mostly all involve some form of video recording and in some cases live streaming. This is the basic info along with things to consider when setting up an event.
Recording terms:
LIVESTREAM - this is a video production that can also record your event but will broadcast it live when it is happening to your audience. Zoom meetings are a form of live-streaming.
ON DEMAND - this is a video production where the recording is made and edited then shared with your audience at some later time. The video can be put in a Google Drive folder and then share the link or on a Vimeo page with the link shared.
VIMEO - This is a video broadcast and sharing program that can make video available either live when an event is happening or to be viewed later.
PRODUCTION MEETING - a meeting between your event planners and the video team will be required for each event scheduled to determine what format will best fit your intended audience at least Three WEEKS in advance of your event date. Lighting, number and position of those speaking, presentation slides, sharing needs (live or on demand), permission from presenters to be recorded are key elements of a successful video event.
VIDEO PRODUCTION SUPPORT - Support for video recording or streaming of your event will fall into one of these three categories:

GOLD - full production video involving pro lighting, sound and cameras involving Verite Studios team. This is the pro company used by Westmont for high profile, out ward facing events. There is a cost to this service so prior VP approval is required to schedule this level

SILVER - Westmont video team support. Brad Elliott or Doug Conrad and student videographers using good cameras and mics. As this is a Westmont team, there is no cost to the event planners (only available for Westmont sponsored events). These events are generally lectures or concerts that have both internal and external audiences. Requests for this level of support depend on staffing and equipment availability. Please schedule these more than two weeks in advance.

BRONZE - These are events that planners and departments film and share using their own resources. Support and training are available to enable departments and individuals to record and stream their own video. This level allows for more flexibility for planning or spontaneous recordings.

The office of Academic Technology (AT), a unit within Information Technology (IT) and in service to the entire campus, provides support and services to further the teaching and learning mission of the Westmont College campus. The mission of Academic Technology is to support excellence in teaching and learning by enabling faculty to effectively integrate technology into the teaching and learning processes. Our vision is to assist Westmont College faculty in developing discipline appropriate technical skills and proficiencies that enhance the teaching and learning experience, as well as engage and motivate students.

If you are experiencing issues with your in-classroom Audio-Visual equipment or would like to schedule a training session, please submit a support ticket If you are reporting a problem, please include a description of the issue you are experiencing along with the classroom number and time of occurrence and AT staff will respond directly.

Canvas
CANVAS by Instructure is the Learning Management System (LMS) platform for Westmont College faculty and students.
For students, Canvas provides a place to communicate with professors, submit coursework, and interact with learning materials provided for each enrolled course.
For professors, Canvas LMS offers a platform on which the learning environment can be easily shaped to meet the individual needs of each educator, and each course. Professors can deliver feedback, collect assignments, and provide course materials, all while monitoring their students’ progress.

Westmont College offers an expanding catalog of video and audio records of course materials lectures and special events in the life of the college. Among the many offerings are the archives of over 40 years of Westmont College chapel speaker talks.

Video Recordings
Westmont College Academic Technology (AT) is not a film or cinematography department. We do however, provide basic professional level video recording services for Westmont College lectures, concerts and events. For events that involve varying light and sound cues or multiple actors and key individuals, we usually recommend that departments contract with professional video companies.
For simple lectures and events where there is generally one speaker or main focus, the recordings we make are edited and published to Westmont iTunes U and YouTube public pages. These quality recordings support the mission of Westmont College and are integral in communicating the narrative of the rich academic and community life at Westmont College.
